JOB TITLE: Campus Receptionist (Bilingual English/Spanish)

REPORTS TO: Campus Director

PAY GRADE:  2023-2024 Clerk Salary Schedule (prorated for number of days employed)

 

 

PRIMARY PURPOSE:

Facilitate the efficient operation of the school administrative office and provide administrative assistance services to the school’s Campus Director and administrative staff.


QUALIFICATIONS:

Education:
High school diploma or G.E.D.

 

Special Knowledge/Skills:
o Spanish proficiency (verbal/written)
o Effective telephone, organizational, written communication and interpersonal skills
o Excellent typing and communication skills
o Ability to maintain confidentiality
o Team oriented and self-motivated
o Ability to maintain accurate and auditable records
o Ability to exercise judgment in correcting data errors or omissions
o Ability to meet established deadlines
o Ability to operate various office equipment (e.g. telephone, typewriter, fax machine, scanner, badge-maker, ID scanner/label-writer and other office equipment)

 

Experience:
o Minimum of one-year administrative assistance experience preferred in a public school

 

MAJOR RESPONSIBILITIES AND DUTIES
1. Welcoming parents, children, and guests to the school.
2. Assist front office staff, students, other staff, and parents.
3. Receive incoming calls, take reliable messages, and route to appropriate staff.
4. Notify and coordinate with the front office backup support person when leaving and returning from station to ensure station does not get left unattended.
5. Serves as English/Spanish interpreter for parents, teachers, and staff for effective communication.
6. Communicate and assist students, staff, and parents as needed while maintaining a positive atmosphere.
7. Translate letters/documents from English to Spanish.
8. Perform the usual office routines and practices associated with a productive office (e.g., telephone, typing, copying, filing, scheduling, etc.).
9. Check visitor identification through Raptor Software (registered sex offenders alert).as assigned.
10. Responsible for making identification badges as assigned.
11. Maintain proper files to include inventory of school supplies, mailing lists, student’s records, visitor logs, and communication.
12. Receive, store, and issue supplies and equipment.
13. Sort, distribute, or deliver mail and other documents.
14. Prepare mailings in both English and Spanish to parents, students and staff
15. Type correspondences, make travel arrangements, and maintain records and files
16. Prepare purchase orders and requisitions for needed materials and release payment authorizations in a timely manner.
17. Exhibit professional telephone etiquette utilizing both English and Spanish.
18. Coordinate facilities and materials/equipment needed for meetings and events.
19. Maintain a daily teacher attendance log and records for substitute teachers.
20. Assist Attendance Clerk when needed.
21. Prepare instructional materials, meeting agendas, honor rolls, graduation lists as requested, using computer.
22. Schedule meetings and appointments and assist in maintaining school calendar of scheduled appointments.
23. Maintain a log of visitors to the school.
24. Greet/receive staff and direct them to appropriate office or meeting.
25. Refer inquiries or problems to appropriate office.
26. Maintain media file.
27. Handle several projects simultaneously.
28. Remain current on school information for the public, i.e., school calendar, campus bell schedules, etc.
29. Assist in routine office communications and operations.
30. Attend district report card nights, ceremonies/celebrations as assigned
31. Update display with district notices/events.
32. Assist in large projects for the district.
33. Ensure proper money handling procedures for funds collected from ID badges and lunch money, locking up and turning in daily to business office for deposit.
34. Attend conferences with parents when needed for translation.
35. Work nights, weekends, and holidays when needed.
36. Perform other duties as assigned.


WORKING CONDITIONS:
Equipment Used: Computer with appropriate software, Microsoft Office Suite (Excel, Word, etc.), printer, calculator, typewriter, copier, facsimile machine, and other specialized equipment.

Reading; ability to perform basic mathematics; ability to communicate effectively (verbal and written) in both English and Spanish; ability to attend to detail; maintain emotional control under stress; work with frequent interruption

ABOUT BOB HOPE SCHOOL
Bob Hope School is a growing open-enrollment public charter school (non-profit) providing parents a choice in their child's education.  Bob Hope Elementary is a Montessori / Dual-Language campus.  Instruction is conducted in a two-way immersion program, where teachers fluent in English teach ELA and those fluent in Spanish teach SLA and are supported by teacher aides with a strong command of both languages. Campuses are located in Port Arthur, Beaumont, and Baytown, Texas.  The Hughen Center, Inc. is the charter holder of Bob Hope School.
